Work Orders is how jobs for customers are managed. On the Work Orders tool there are tabs that provide a variety of data views for work orders and tasks.


Active - Active Work Orders

Completed -  Work Orders that have been completed

Canceled - Work Orders that have been canceled

Assigned Tasks - Tasks that have been assigned to your user account

Active Tasks - Tasks that are currently active

Pending Tasks - Tasks that are in the pending state


Click on the + Add button will bring up the Add Work Order panel.



The Add Work Order contains several form elements:


Customer - The customer the work order is for

Facility - An optional facility related to the work order

Location - An option location related to the work order

Type - The type of work order defined in Preferences in the Admin Tools

Summary - A summary describing the work or job to be performed

Status - The initial status of the work order at creation. The default is set based on the current tab that is selected.

Primary Contact - The primary contact of the customer for the work order


Once all required information has been entered, clicking the Submit button will add the new work order. This only creates the initial work order record. Click on the new work order to be taken to the work order's page.


Once on the work order page, tasks will need to be setup for the work order. These are tasks that have been setup in Preferences in the Admin Tools. These are tasks that techs and workers will log into for timesheet tracking. Ensure that work orders are broken up into tasks that require individual time tracking if rates differ based on the labor that is performed. To add a new task, click on the + Add button in the Tasks panel.



The Add Task panel contains the following fields:


Task Type - Type of task defined in Preferences in Admin Tools

Assignee - The user accounts that are assigned to the task. Multiple can be selected.

Est. Completion - The estimated completion date for the task

Schedule - Check if the work order should be scheduled on the Scheduler calendar

Estimated Hours - Estimated number of hours it will take to complete the job

Forms - The forms that will needed to be completed for the task. These can be created in Forms Builder in Admin Tools

Equipment - Equipment related to the task

Deliverable - A deliverable that should be created during the task. This can be a sales process, shop job, quote, or work order

Status - The initial status of the task


Click the Submit button to add the task. Once all tasks for the Work Order have been completed, it is ready to be used in the system. If there are any documents or information that needs to be shared with techs or workers, then add them to the Description and upload the files to Documents. Once a file is listed under Documents click on the entry. You can add a previously defined document label to the document. This will then place the document into an Important Documents pane and show up within the mobile app.
